Our Publicity Request process guides you through the important pieces of information the Hales Corners Lutheran Communications Team will need to develop a comprehensive marketing plan to help you properly promote your event/program so you can have the biggest impact. Publicity requests must be made a minimum of 2 weeks prior to your PROMOTION START DATE, which should be 3-4 weeks prior to your EVENT DATE. Please do your best to plan ahead to ensure ample time to promote your event/program.
Our new and improved Publicity Request form allows you to select what type of request you're making - either an "Announcement" or "Publicity." If you have a brief announcement you'd like to promote, select "Announcement" to provide the details. Announcements can include but are not limited to:
- Location changes for existing programs
- Important school reminders
- Requests for volunteers with existing ministries
To promote an upcoming event/program, select "Publicity." Events/programs can include but are not limited to:
- Bible Studies
- Support group meetings
- Networking events
- Concerts and performances
- Athletic events
- School fundraisers
Once you've completed the form, click "Submit" and you will immediately receive an email confirming your submission with a complete copy of your form along with additional details for maximizing your request. Is your event/program over? Tell us about it and show how God is working within your ministry:
- How your event/program went (turnout, funds raised/donated, etc.)
- Compelling stories from your event/program
- Testimony from participants/attendees
- Photos and videos
- Anything else you can think of!

Enhance Your Publicity
Are you looking to amplify your ministry's message? Do you want to really make a splash? To maximize your publicity, it's important to provide additional materials to HCL's Communications Team for use in promoting your ministry's event/activity. Be sure to include the following in your Publicity Request for optimal results.
If your event/activity will be featuring a speaker or a panel, or you will be partnering in some way with (an)other organization(s), be sure to provide context as part of your Publicity Request. Speaker bios, including credentials, years of relevant experience and other background information will add credibility to any promotions. Similarly, providing context about any partner organizations/ministries, including links to Websites, logo(s), etc., where appropriate, is critical. Remember, when we are promoting something, we don't want to make any assumptions about what your audience does or does not know.
Whether in text or video format, testimony from actual people who have experienced your event/activity before and/or have been impacted by your ministry in some way can be very powerful. In addition to adding an element of storytelling, testimonials can also add some credibility to our promotions and can be very compelling. Even if you don't have testimonials readily available, we highly recommend reaching out to a few people to request these and include them for your Publicity Request.
Similar to testimony, having one or two relevant success stories to share about the impact of your ministry and/or your event/activity can be very powerful as well. The difference between a story and a testimonial is that a story doesn't necessarily have to come from someone else. Success stories go beyond telling about your event/activity to convey why it matters and get to heart of what your ministry is working toward. A story or two can add a personal touch to your promotions and is more dynamic than simply sharing the nuts and bolts details about "who, what, where and when." If you have an impact story or two that could enhance our promotions, please plan on submitting these to our team.
There's a reason why articles with images and video have better click-through rates and traffic - they make content more engaging than just text alone! Including (an) image(s)/video(s) that represent your ministry and/or event/activity is critical. Good images and video help your audience to better understand what you're promoting and can be compelling enough to make them want to participate. You can send along video files for us to upload to our HCL YouTube account to be used in promotions or, if (a) video(s) is/are already hosted somewhere (i.e. YouTube, vimeo, etc.), simply send along the link(s). For images, be sure to submit as many relevant ones as possible and make sure they follow these guidelines:
- Original image - 300 dpi - high resolution (please do not copy and paste something from the internet)
- If not your original image, should be copyrighted for reuse or you have copyright permission and include copyright info
- Jpeg format files
- Fonts need to be rasterized
- Vector file formats: .eps or pdf file; fonts converted to outlines
Providing links to other, relevant Websites as part of your Publicity Request can be very helpful. We can and should include relevant links in our promotions (i.e. to affiliate Websites, partner organizations, etc.), but you can also send Websites for us to reference for context about your event/activity or even to show our team examples of what "good" looks like to you if another church or ministry has promoted something similar and you're interested in adopting a similar strategy.
